Why leads die on WhatsApp
A customer messages at nine in the evening. Nobody replies until the following afternoon. By then they have messaged two competitors and one of them answered in a minute.
This is rarely a staffing failure. It is that the enquiry arrives outside working hours, or during a rush, or on a personal handset that nobody else can see. The business never learns it happened, because there is no record beyond one phone.
What the WhatsApp Business API changes
The Business API is not the WhatsApp Business app. It is the official programmatic route, and it is what allows automated replies, routing to the right person, and a shared record of every conversation.
It also imposes real rules, and honest implementation respects them: customers must opt in, businesses can message freely only inside a 24-hour window after customer contact, and anything outside that window uses pre-approved templates.

How WhatsApp Business API pricing actually works
WhatsApp Business API pricing is per delivered template message, in one of four categories, plus whatever your provider adds on top. It stopped being priced per twenty four hour conversation on 1 July 2025, and a great deal of the advice still online describes the old model, so a quote built on conversation counts is quoting something that no longer exists.
The four categories are the whole of it, and which one a message falls into decides what it costs.
- Marketing. Promotions, offers, re-engagement, anything selling. The most expensive category, and the one with no volume discount at any scale, which is deliberate on Meta's part.
- Utility. Order updates, delivery notifications, appointment reminders, payment confirmations. Substantially cheaper than marketing, and free when sent inside the customer service window.
- Authentication. One time passcodes and verification. Priced like utility, and discounted at volume.
- Service. Your replies inside the twenty four hours after a customer messages you. Free.
Rates differ by country and Meta revises them, so any figure printed on an agency page is a figure with a date on it whether or not the date is shown. Meta publishes the current rate card itself and that is the only source worth quoting from.
Then your provider adds a markup per message on top of Meta's rate. Some publish it, some fold it into a monthly platform fee, and the difference between an honest provider and an expensive one is usually visible in whether they will tell you which.
Where most businesses overpay
Not on the rate. On the category. A message that could have been written as a utility template gets written as a marketing one, and the same notification costs several times more for the rest of its life. Order confirmations, delivery updates and appointment reminders are utility if they are drafted as utility and marketing if a line of promotion is dropped into them, and once a template is approved in a category it stays in that category.
The second is sending outside the service window when the conversation was still inside it. Anything answered within twenty four hours of the customer's own message is free, so a system that replies in seconds is not only better for the customer, it moves a share of the volume into the free category. That is the part a well built responder pays for by itself, and it is the reason speed and cost are the same conversation here rather than two.
What it costs to get on, how soon it runs, and what stays in your name
Two costs sit under this and only one of them is the platform. Meta's schedule is set out above, and it is Meta's rather than any supplier's. The build is the other one, and no price for it appears on this site, because what moves the number is how many systems the replies have to read and write, how many templates a sequence needs approved, and who maintains it when a platform rule changes underneath you. The account, the number and the templates are registered in your name from the first day, so you own the system and can change supplier without changing number.
Getting onto the API is the shorter half of the work. Business verification and number registration take days rather than weeks when the documents are in order, and the audit runs in the first week alongside it. Anything that starts a conversation later has to have its templates written and approved before the first conversation happens, which is why follow up sequences land after that rather than with it.
The handover is the point of the build rather than a fallback in it. Automation answers instantly, handles the routine, captures the details and hands it to a person while the conversation is still warm. A complex deal, a complaint, a price outside the published list and anything a customer would hold the business to all need human approval before they exist. Doing the platform half with your own team is realistic and worth weighing.
